A guide to export documents: invoice, origin, ATR and EUR.1

A large share of the most common delays and costs in exporting stems from missing or incorrect documents. A properly prepared file means goods do not wait at customs and payment is received on time. In this article we explain the basic export documents in plain language.
Why is document management so important?
In international trade, while goods travel physically, documents make a parallel journey. Customs clearance, payment collection and delivery often depend on the accuracy of these documents. A single missing document can halt an entire shipment.
1. Commercial Invoice
The fundamental export document. It shows the seller, buyer, product, quantity, unit price, delivery terms (Incoterms) and payment conditions. Customs valuation and payment run through this document.
2. Packing List
Shows how the shipped goods are packed, the number of packages, and gross and net weights. It is used together with the invoice during customs control and delivery.
3. Transport document (Bill of Lading / CMR / AWB)
Proves that the goods were handed to the carrier and constitutes the contract of carriage. A bill of lading (B/L) is used for sea, CMR for road and AWB for air. This document is critical in letter-of-credit transactions.
4. Certificate of Origin
Officially documents in which country the product was manufactured. In many countries the customs duty rate varies according to the origin of the goods.
5. ATR and EUR.1 movement certificates
These are two prominent documents in exports to the European Union. ATR provides a customs-duty advantage for industrial products within the customs union with the EU. EUR.1 provides a reduction based on proof of origin in countries with a preferential trade agreement. The right document can significantly lower the duty your buyer pays and give you a competitive edge.
